Contract overview in Looop illustrating the cost of contract management software

"What does it cost?" is usually the first question about contract management software, and the answer is often frustratingly vague. Half the vendors don't publish prices, and the other half charge in ways that are hard to compare: per user, per contract, per module, or with credits.

In this article we set out what is known, how the pricing models work, and which costs you only discover after signing.

Short answer: for SMEs in the Netherlands, contract management software costs roughly €50 to €150 a month for an entry plan, and €100 to €550 a month for a plan with workflows, KPI monitoring and AI. Broad legal platforms start around €15,000 a year, often excluding implementation. Always compare the total cost over three years, not the monthly price.

The four pricing models

Before putting prices side by side, you need to know what is being priced. There are four common models, and many vendors combine them.

ModelHow it worksWatch out for
Per planFixed price per month or year, with a number of users and contracts includedWhat does the next user cost, and where is the contract limit?
Per userPrice per user per month, often with a minimumGets expensive once department heads also need to look in
Per moduleBase plus separate modules for e-signing, AI, workflows or reportingThe entry price says little; add up the modules you actually need
On requestCustom quote, often after a demoAsk for the total cost over three years, in writing

Some vendors also work with credits: a fixed number of signatures or AI analyses per year, after which you buy more. That isn't necessarily bad, but it makes costs less predictable.

What vendors publish

The table below lists prices as vendors publish them, or as known from our earlier research. All amounts exclude VAT.

Prices change. This table reflects October 2026. Always check the vendor's current pricing page when you request a quote, and ask exactly what the plan includes.

What stands out: entry prices are close together, but what you get for that money differs a lot. With one vendor e-signing is included as standard; with another you pay per signature or have to connect an external tool. An honest comparison of what the tools can do is in 8 contract management tools compared.

The costs you run into later

The monthly price is rarely the whole story. These are the items that make the difference in practice.

1. Implementation and migration. With large platforms, an implementation project of weeks to months is common, with its own price tag. Ask whether setup and moving your existing contracts across are included.

2. E-signing. Is it included, included with limits (credits), or do you need a separate tool such as DocuSign? A standalone e-signature subscription quickly costs tens of euros per user per month.

3. AI usage. More and more tools offer AI that reads contracts. Check whether there is an annual cap. Otherwise, during an inventory of a hundred contracts, you hit the ceiling in the first week.

4. Extra users. Contract management works best when budget holders can look in themselves. A per-user price that is reasonable at five users can blow the budget at twenty.

5. Integrations. Want to link contracts to your CRM or ERP? Many vendors only offer that in the most expensive plan, or as custom work.

6. The software contract itself. Ironically, this is where people often don't read carefully. How long does the contract run, does it auto-renew, and what is the notice period? An annual contract with three months' notice locks you in.

  • What does it cost over three years, including every module I need?
  • Are implementation and moving existing contracts across included?
  • Can I e-sign without limits, or does it work with credits?
  • Is there a cap on AI analyses per year?
  • What does one extra user cost, and are read-only users free?
  • What is the term and notice period of the software contract itself?
  • Do I get my data back when I leave, and in what format?

Worked example: three years, ten users

Contract management works best when budget holders and department heads can look in themselves, not just procurement. So take an organisation with ten users, around 150 active contracts, and a need for approvals, e-signing and expiry alerts in one system. What does that cost over three years, based on published prices?

Per yearOver three yearsNote
Looop Enterprise€5,988€17,964Based on the starting price; 10 users, e-signing, NORA AI, KPI monitoring and HubSpot, Pipedrive and AFAS integrations included
Oneflow Business€6,000€18,00010 users at €50 a month, billed annually; eID signing and some AI as add-ons
GRIP Pro€6,600€19,800KPI monitoring included; signing not stated
Broad legal platform± €15,000± €45,000Excluding implementation

This isn't a complete comparison: every tool has different strengths, and a custom quote may differ. But it shows how large the differences become over a few years, and that the cheapest entry price need not be the cheapest choice once more users join.

What do you get in return?

Costs only mean something relative to what they deliver. Avoiding a single unwanted auto-renewal of a €12,000-a-year contract pays for a mid-range plan several years over. On top of that comes the time you save on searching, retyping and chasing signatures.

Frequently asked questions

How much does contract management software cost per month?
For SMEs in the Netherlands, published prices for an entry plan range roughly from €50 to €150 a month. Plans with workflows, KPI monitoring and AI usually cost €100 to €550 a month. Broad legal platforms for large organisations run to €15,000 a year or more, often excluding implementation.
Why do many vendors not publish prices?
Because the price depends on users, contracts, modules and implementation. That's understandable, but it makes comparison hard. Always ask for the total cost over three years, including e-signing, AI usage and extra users.
Which costs are often overlooked?
Implementation and migration, separate fees or credits for e-signing, caps on AI usage, the price of extra users and integrations with your CRM or ERP. Also check the term and notice period of the software contract itself.
